Privacy Policy
Effective date: September 6, 2026 | Last updated: September 6, 2026
ContaMira Business Services LLC ("ContaMira," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit www.contamirabusinessservicesllc.com, submit a consultation questionnaire, communicate with us, or otherwise interact with the website and related inquiry services (collectively, the "Site").
This Policy covers information we handle as the business responsible for the Site. Client bookkeeping records processed after an engagement begins may also be governed by a signed engagement agreement, confidentiality terms, and the privacy terms of the platforms selected by the client or ContaMira. If those documents conflict with this Policy concerning client-service data, the signed agreement controls to the extent permitted by law.
Please do not send sensitive credentials through public forms.
Do not submit bank or credit-card account numbers, login credentials, passwords, Social Security numbers, Employer Identification Numbers, payment-card data, tax returns, or copies of identity documents through the Site or consultation questionnaire. If services are established, we will identify an appropriate secure method for necessary records.
Information we collect
Depending on how you interact with us, we may collect the following categories of information:
1. Contact information, such as name, business name, email address, telephone number, preferred contact method, and language preference.
2. Business profile information, such as city and state, other states of operation, industry, business description, time in business, entity type, workforce size, and use of contractors.
3. Bookkeeping and financial-context information, such as the bookkeeping platform used, how current records are, approximate number of accounts and transactions, revenue range, payment processors, payroll or inventory status, business deadlines, and the services or outcomes requested. We request ranges and operational context—not account credentials—at the inquiry stage.
4. Communications and meeting information, including questions, notes, correspondence, consultation scheduling details, feedback, and records of consent or communication preferences.
5. Website and device information that may be collected automatically, such as IP address, browser and device type, referring pages, pages viewed, dates and times, cookie identifiers, and interaction data, depending on the settings and technologies used by our website provider.
6. Client-service information provided after a written engagement begins, including bookkeeping records and access permissions needed to perform the agreed services. This information should be exchanged through approved systems and is subject to the engagement terms.
Sources of information
7. Directly from you, including through the Site, Tally questionnaires, email, telephone, text message, video meeting, or documents you choose to provide through an approved method.
8. Automatically from your browser or device through cookies, logs, embedded media, and similar technologies.
9. From service providers that support our website, forms, scheduling, communications, security, cloud storage, payment processing, and client-service platforms.
10. From referrals, business contacts, or publicly available business sources when permitted by law.
How we use information
11. Respond to inquiries, schedule and prepare for consultations, evaluate whether services are an appropriate fit, and provide proposals or requested information.
12. Provide, administer, document, and improve services after an engagement is established.
13. Communicate about an inquiry, appointment, engagement, account, security matter, or change to our terms or practices.
14. Send educational or marketing email only as permitted by law and honor opt-out requests. Marketing consent is not a condition of obtaining a consultation or purchasing services.
15. Operate, secure, troubleshoot, analyze, and improve the Site, forms, communications, and business processes.
16. Prevent fraud, misuse, unauthorized access, and other harmful or unlawful activity.
17. Comply with legal, tax, accounting, regulatory, insurance, and recordkeeping obligations; establish or defend legal claims; and enforce agreements.
18. Create aggregated or deidentified information that is not reasonably linkable to an individual and use it for lawful business purposes.
How we disclose information
We may disclose personal information only as reasonably necessary for the purposes described above, including to:
19. Service providers. These may include DotcomPal (website hosting, embedded content, and related website functions), Tally (questionnaires), scheduling or video-meeting providers, email and cloud-storage providers, security and IT providers, payment processors, and Intuit QuickBooks Online or other client-approved bookkeeping platforms. Providers process information under their own terms and, where applicable, our instructions or agreements.
20. Professional advisers and insurers, such as attorneys, accountants, auditors, or insurance providers, when reasonably necessary and subject to appropriate confidentiality duties.
21. Government authorities, courts, regulators, or other parties when disclosure is required by law, legal process, or a good-faith need to protect rights, safety, security, or property.
22. A buyer, successor, lender, or adviser in connection with a proposed or completed merger, financing, reorganization, sale, or transfer of all or part of the business, subject to appropriate protections.
23. Other parties at your direction or with your consent.
As of the effective date, ContaMira does not sell personal information for money and does not use personal information for targeted advertising across unrelated websites. We do not knowingly sell or share the personal information of minors. If our practices materially change, we will update this Policy and provide any notice or choice required by law before applying the new practice.
Cookies and similar technologies
The Site and embedded features may use cookies, pixels, local storage, logs, or similar technologies for security, preferences, embedded video, Site operation, and performance measurement. Some technologies may be automatically implemented by DotcomPal or embedded service providers when the Site loads. Our current website platform does not provide category-level cookie-preference controls. You may control, block, or delete cookies through your browser settings, although doing so may affect certain Site features. ContaMira does not currently intentionally deploy advertising, remarketing, or behavioral-targeting cookies. Please review our Cookie Policy for additional information.
Communication choices
24. Service and inquiry communications. We may contact you using the method you request to respond to your inquiry or manage an existing relationship. You may ask us to use a different method, subject to operational and legal needs.
25. Marketing email. You may unsubscribe through the link in a marketing email or contact us at Alma.Sandoval@contamirabusinessservicesllc.com. Opting out of marketing does not stop transactional or service-related messages.
26. Text messages. If you choose text messaging, message and data rates may apply. You may reply STOP to stop texts and HELP for help where those commands are supported. Consent to marketing texts, if ever requested, must be separate and is not a condition of purchase.
27. Cookies. Use the Site's cookie-preference tool, if available, and your browser controls. Blocking cookies may affect some features.
Privacy rights
Depending on where you live and whether an applicable privacy law covers ContaMira, you may have rights to request access, correction, deletion, or a portable copy of certain personal information; to opt out of certain sales, sharing, targeted advertising, or profiling; to withdraw consent; or to appeal a denied request. These rights may be subject to verification, exceptions, and limitations.
To submit a request, email Alma.Sandoval@contamirabusinessservicesllc.com with the subject "Privacy Request." Describe the request and the state in which you reside. We may ask for information reasonably necessary to verify identity and authority. An authorized agent may submit a request where permitted by law, but we may require proof of authorization. To appeal a decision, email the same address with the subject "Privacy Appeal." We will not unlawfully discriminate against you for exercising a privacy right.
Data retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to respond to inquiries, manage relationships, maintain business and consent records, comply with legal and contractual duties, resolve disputes, and enforce agreements. Retention depends on the nature and sensitivity of the information, the relationship, platform settings, applicable limitation periods, and legal or accounting requirements. When information is no longer reasonably needed, we take reasonable steps to delete, deidentify, or securely dispose of it, subject to backup and legal-hold constraints.
Security
We use reasonable administrative, technical, and physical safeguards designed for the nature and sensitivity of the information we handle. No website, email, transmission method, or storage system can be guaranteed to be completely secure. You are responsible for using secure devices and networks and for not sending credentials or highly sensitive records through public forms or ordinary email. If you believe information submitted to us has been compromised, contact Alma.Sandoval@contamirabusinessservicesllc.com promptly.
Children's privacy
The Site is intended for business owners and adult representatives and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided personal information, contact us so we can review and take appropriate action.
Third-party services and links
The Site may link to or embed services operated by others. Their privacy and security practices are governed by their own terms and policies. We encourage you to review them. ContaMira is not responsible for a third party's independent practices, except to the extent required by applicable law or a written agreement.
United States processing
ContaMira is based in Texas, United States. Information may be processed and stored in the United States and other locations where our service providers operate. If you access the Site from outside the United States, applicable data-protection rights may differ. Contact us before submitting information if you need information about an international transfer or local-law requirement.
Changes to this Policy
We may update this Policy as our practices, providers, or legal obligations change. We will post the updated version with a new "Last updated" date and provide additional notice when required by law. Material changes will apply prospectively unless otherwise permitted by law.
